Support : Search Referrals
The referral search feature allows staff to quickly locate past behaviour referrals using a wide range of filters. You can search by student, year, behaviour type, location, and more. Results can also be exported to Excel for further reporting or review.
Follow the steps below to search and filter referrals effectively:
Step 1: Open the Referral Search screen
- Use the left-hand menu (or bottom navigation on mobile) to open the Search Referrals screen.
- The search filters will be expanded by default to begin your search.
Step 2: Apply Filters
You can filter referrals using any combination of the following fields:
- Year – Filter by the student’s academic year level.
- Grade - Search by grade/year level.
- Gender – Narrow results by student gender.
- Brief Description – Enter any text to find referrals containing those words in the incident description.
- Student - Search for referrals involving a specific student.
- Location - Select where the incident occurred.
- Behaviour Type – Filter by the type of behaviour recorded.
- Motivation – Narrow results by the motivation selected in the referral.
- Actions Taken – Filter based on actions recorded (e.g. Parent Contact, Detention).
- Parent Contact – Search by the type of follow-up contact made.
- Seclusion/Restraint – If enabled, filter by the type of seclusion or restraint used.
Each filter is optional and can be used independently or in combination with others.
Step 3: View Results
- After applying your filters, click or tap the blue Search button.
- The Search Filters will collapse and matching referrals will appear in a scrollable list.
- Each referral shows key details like:
- Student Name and their Home Room
- Reported By (staff member)
- Behaviour Type & Perceived Motivation
- Location and Date & Time the incident occurred
Step 4: Download Results to Excel
- Once your search results are displayed, click or tap the blue Download to Excel button located at the top of the search results list.
- This will generate and download an Excel (.xlsx) file with the current filtered results, including all relevant referral data.
- On mobile? The Excel file will be emailed to you automatically.
Use this feature for reporting, audits, parent meetings, or classroom data reviews.
Step 5: Clear Filters (Optional)
- To reset the form and remove all filters, click or tap the X Reset button.
- This will reset all filters and clear the referral results list.
Notes
- Filters are flexible — you can search using one field or combine many for more targeted results.
- Excel downloads reflect only the filtered results, not all records.
- Your access level may limit visibility to referrals (e.g. only your students or year levels).
