Support : Merging Duplicate Students
Duplicate student records can occasionally appear due to upload mismatches, manual entry errors, or more specifically after importing historic SWIS referral data. The Merge Student function in BEAMS allows you to safely consolidate two student records into one, ensuring all referral history remains intact.
Step 1: Prepare for the Merge
- Navigate to the Manage area from the left navigation Menu (or bottom navigation on mobile).
- Click or tap the Student tab at the top (second from left) and search/find the student you intend to remove (usually the one from SWIS).
- Add (DELETE) to their Last Name to make it easy to identify.
- Example: Bart Simpson → Bart Simpson (DELETE)
- Click SAVE.
Tip: This makes it clear which record will be removed during the merge process.
Step 2: Open the Merge Tool
- Navigate to Admin area from the left navigation Menu (not available on mobile).
- Select the Merge Students option.
- The Merge Duplicated Students window will be displayed with two dropdowns:
- Origin Student – The duplicate, usually renamed with (DELETE), that will be removed.
- Target Student – The student record that will remain.
Step 3: Perform the Merge
- Select the correct Origin and Target students from the dropdowns.
- Click or tap the MERGE button.
WARNING: This action CANNOT be un-done.
What Happens Next
- All referrals from the origin student are transferred to the target student.
- The origin student record is permanently deleted.
- You will now see a single, consolidated student record with combined referral history.
Important: Merges cannot be undone. Double-check both records before merging.
Tips
- After merging, review the final student record to ensure referrals and class assignments are accurate.
