Support : Uploading the Student List
Uploading a student list into BEAMS is a simple process and can be done quickly via the Admin menu. This allows bulk addition or updating of student records using a standard spreadsheet format.

Step 1: Navigate to the Admin Area
- Navigate to Admin area from the left navigation Menu (not available on mobile).
- Use the Upload Student List option to upload a student list file exported from ICON.
Step 2: Choose Your Student List File
A pop-up window will apear to select the upload file
- Click or tap the blue Select File button.
- Browse and choose the Excel file downloaded from ICON.
- Ensure the file is in its original format and HAS NOT been altered in any way.
Step 3: Start the Upload
- Once your file is selected, click the UPLOAD button.
- The file will be processed in the background and may take up to 30 seconds to complete.
Step 4: Check Your Email for Upload Results
- Once processing is complete, a summary will be emailed to you.
- The email will include a breakdown of the upload results:
- Added – New students successfully added to the system
- Updated – Existing student records successfully updated
- Errored – Records that could not be processed due to missing or invalid data
- No Change – student records with no change are suppressed for brevity
Note: If a student does not appear in the uploaded Excel list, they will be marked as inactive and automatically deactivated in the system.
